We Are Hiring – Legal Assistant

HC LLP is a fast-paced litigation boutique in the heart of North York. We are looking for a motivated and organized Legal Assistant to join our growing team.

Job Description

As a Legal Assistant at HC LLP, you will play a vital role in keeping our busy litigation practice running smoothly. This is a hands-on, client-facing position in a dynamic environment where no two days are the same.

Key Responsibilities include:

  • Answering incoming calls from new and existing clients, providing professional first contact, and screening potential new matters
  • Conducting new client intake: gathering facts, completing intake forms, running conflict checks, and opening new files
  • Managing day-to-day office administration and file organization
  • Assisting with basic legal research (using CanLII and other free resources)
  • Preparing, formatting, and proofreading legal documents, correspondence, pleadings, affidavits, and motion materials
  • Heavy document management using Adobe Acrobat Pro (PDF editing, redaction, Bates stamping, combining/splitting files, bookmarks, and OCR)
  • Full proficiency in Microsoft Office: Outlook (email & calendar management), Word (mail merges, track changes), and Excel (scheduling, tracking, and simple data management)
  • Scheduling court appearances, discoveries, mediations, and client meetings
  • Electronic court filing and service through Ontario court portals
  • Monitoring deadlines and maintaining an internal tickler system
  • General office support and occasional reception coverage

Work Arrangement

  • Onsite at our office: 5775 Yonge Street, Toronto, Ontario
  • 7-8 hours per work day (full-time)
  • Occasional evening or weekend overtime is expected in a fast-paced litigation firm (we always pay overtime hours)
  • Opportunity to move to a hybrid schedule after successful training and probation

Candidate Requirements

  • No prior legal experience or knowledge of the law is required – we will train you from scratch. We provide comprehensive hands-on training and ongoing mentorship so you can grow quickly in the litigation field.
  • Strong computer skills are a must (Microsoft Office and Adobe Acrobat Pro proficiency required)
  • Fluent English is fundamental to the job
  • Exceptional task management and prioritization skills
  • Ability to handle multiple deadlines in a fast-paced environment
  • Fast response time and strong attention to detail
  • Excellent team collaboration and communication skills
  • Reliable, professional, and positive attitude
  • Mandarin and Cantonese proficiency is a strong asset
  • Fluency in macOS is an asset

What We Offer – You Choose Your Path

We believe in giving candidates real flexibility. You can join us as a full-time employee or as an independent contractor, whichever works best for you.

Option 1: Full-Time Employee

  • Starting salary: $23 – $25 per hour (depending on any prior administrative or similar experience)
  • All overtime hours fully paid
  • Employer-paid CPP, EI, and health benefits
  • 3-month probation period with clear goals
  • Yearly performance review and salary increase opportunity

Option 2:Independent Contractor

  • Rate: $26 – $28 per hour
  • You can charge HST when applicable
  • Complete flexibility, bill only for the hours you work
  • No benefits or payroll deductions (simpler administration)

Both options respect the reality of litigation work: when files heat up, you get paid for the extra time.
